This policy explains how AvniX Restaurants (“AvniX”, “we”), a product by theavni.studio based in Visakhapatnam, India, handles personal data when you visit rms.avnix.in, contact us, or use our restaurant software. We follow India’s Digital Personal Data Protection Act, 2023.
Who is responsible for what
- Our own website and sales enquiries — AvniX decides how this data is used and is responsible for it.
- Restaurant guests and staff — when a restaurant uses AvniX (QR menu, guest list, orders), the restaurant decides what it collects and why. We process that data on the restaurant’s behalf and only to provide the service. Guests should contact the restaurant first about their data; we will help the restaurant respond.
What we collect
- Contact form: your name, email, phone number (optional), restaurant name, city, number of outlets, plan interest and your message. We also record your IP address, approximate country and browser type to prevent spam and abuse.
- Console users (restaurant owners and our team): email address, name, role, and a sign-in log with date, IP address, approximate country and device, kept for security.
- Restaurant guests (on behalf of restaurants): name and phone number when a guest chooses to join a restaurant’s guest list, visit counts, and orders placed through the menu.
- Menu analytics: our tracker uses no cookies. It records page views with a random, anonymous device identifier stored in the browser, the page visited, approximate country and device type. The IP address is used only to derive the country and is not stored. We honour “Do Not Track”.
- Billing: contract terms and payment records for restaurants that subscribe. We don’t store card numbers.
Why we use it
- To reply to enquiries and give quotes.
- To provide, secure and support the service (including sign-in codes and audit logs).
- To bill subscriptions and send billing notices.
- To show restaurants aggregated insights about their own menu and guests.
We don’t sell personal data and we don’t use it for third-party advertising.
Cookies
The public website sets no tracking cookies. The console uses one essential, secure cookie to keep you signed in, and a preference cookie for your chosen display currency. Your theme choice is stored in your browser.
Where data is stored and who processes it
- Hosting and database: our own Appwrite servers. Each restaurant’s data sits in its own separate database.
- Email: Twilio (SendGrid) sends sign-in codes, invitations, billing reminders and enquiry notifications.
How long we keep it
- Enquiries: up to 24 months after our last conversation, unless you become a customer.
- Raw analytics events: 90 days, then only aggregated daily counts are kept.
- Sign-in codes: deleted as soon as they’re used or expire (10 minutes). Sign-in logs: up to 12 months.
- Restaurant and guest data: for as long as the restaurant uses AvniX, then deleted or returned on request.
- Billing records: as long as Indian tax law requires.
Security
Passwordless sign-in with one-time email codes, encrypted connections (HTTPS), role-based access, separate databases per restaurant, and an audit log of sign-ins and changes. No system is perfectly secure, but we work to protect your data and will notify affected parties and authorities of a breach as the law requires.
Your rights
You can ask to access, correct or delete your personal data, withdraw consent, or nominate someone to act for you. Write to us at contact@theavni.studio. We reply within 30 days. If you’re not satisfied, you can complain to the Data Protection Board of India.
Children
Our service is for businesses and isn’t directed at children under 18.
Changes
We’ll update this page when our practices change and revise the date above. Significant changes will be communicated to customers by email.
